Privacy policy

Office Hours (mentorofficehours.com) is run by Mentor Office Hours LLC (“we”, “us”). It lets organizations run office hours: some members host sessions and others drop in or book a time. This policy explains what we collect, why, who can see it, and the choices you have.
What we collect
- Feedback you send us. Your message, with the page you were on and your organization.
- Account details from Google or LinkedIn. When you sign in, we receive your name, email address and profile photo, along with the sign-in tokens needed to keep you signed in. We do not get your password, and we do not post anything to those accounts.
- Profile information you add. For hosts, this can include a headline, summary, work history, LinkedIn profile URL, a default meeting link and topic tags. For other members, it can include graduation year, major and interests.
- Your profile photo. We copy it from Google or LinkedIn when you first sign in, or you can upload your own. We store our own copy, and members of your organizations can see it.
- LinkedIn profile PDFs. If a host chooses to import their profile, we store the PDF they upload and use it to pre-fill their profile.
- Activity in the app. This includes the organizations you join and your roles in them, office hours you schedule, bookings and drop-in RSVPs, your time zone and your email preferences.
- Questions you ask. Questions you post ahead of a group session, and your upvotes.
- Session feedback. After a session, attendees can rate how useful it was, clap, and send the host a thank-you note. Hosts can score how it went, leave a private note to admins, flag a concern, or mark that nobody came.
- Technical information. Each signed-in session records your IP address and browser type, which we use for security. Our hosting provider also keeps standard server logs.
How we use it
We use this information only to run Office Hours, which means:
- signing you in and keeping your account secure
- showing hosts in your organization’s directory and matching people by shared interests
- scheduling office hours, bookings and drop-ins
- asking for feedback after sessions, which you can turn off in your email preferences
- sending email about confirmations, reminders, changes and digests, which you can adjust in your email preferences
We do not sell your information, and we do not use it for advertising.
Who can see it
- Members of your organization. They can see host profiles in the directory and the office hours on offer. Hosts can see who booked or RSVP’d to their sessions. A meeting link is shared only with people attending that session.
- Your organization’s administrators. They can see member details and roles, manage memberships, and view uploaded LinkedIn PDFs. Each PDF is visible only to the host who uploaded it and to admins. They can also see a log of emails sent to members (who received each one, what kind it was and when), but not what the emails said.
- Questions you ask are visible to the people in that session. If you ask anonymously, other attendees don’t see your name, but the host and admins do.
- Session feedback and ratings (ratings, hosts’ scores, notes and concerns) are visible to your organization’s administrators only. Hosts never see individual ratings.
- Thank-you notes are visible to the host they were sent to.
- Clap totals for each host are visible to everyone in the organization.
- Members of other organizations cannot see your information.
Service providers
We rely on a few providers that process data on our behalf, and only for the purposes listed:
- Vercel, for hosting and private file storage of LinkedIn PDFs
- Neon, for the database
- Resend, for email delivery
- Google and LinkedIn, for sign-in
- Anthropic, through Vercel’s AI Gateway, to read an uploaded LinkedIn PDF and draft a profile. This happens only when a host chooses to import.
Our providers store and process data in the United States.
Cookies
We use only the cookies needed to keep you signed in. There are no analytics or advertising cookies.
How long we keep it
We keep your information while your account is active. Records of the emails we send are deleted after 90 days. You can remove your photo or an uploaded LinkedIn PDF from your profile at any time. If you ask us to delete your account, we delete your profile, photo, memberships, bookings, stored files and email records. Copies in backups and email delivery logs are removed on their normal schedule.
Your choices and rights
You can view and edit your profile and email preferences in the app. To get a copy of your data, correct it, or delete your account, email tmeservy@gmail.com. Depending on where you live, you may have other rights over your personal information. We’ll respond to any request within 30 days.
Children
Office Hours is not meant for children under 13, and we do not knowingly collect information from them.
Changes
If we make significant changes to this policy, we will update the date at the top. For major changes, we will also tell members by email.
